We are looking for a detail-oriented and reliable Office Assistant to join our team part-time, working on-site. This role presents an excellent chance for an individual who finds satisfaction in ensuring seamless operations and values contributing to a productive and hospitable workplace.
Primary Duties
- Offer administrative assistance to the Executive, Accounting, and Operations departments.
- Carry out receptionist functions: managing phone calls, responding to email inquiries, and welcoming guests.
- Aid with accounts payable processes and monitoring invoices.
- Support human resources and facility management duties, such as managing office access and general maintenance.
- Prepare, draft, and format various communications, reports, and internal documents.
- Oversee and maintain orderly digital and paper filing systems.
- Coordinate meeting schedules, manage calendars, and arrange travel logistics.
- Assist in organizing office events and team gatherings.
- Monitor inventory of office and kitchen supplies and ensure all equipment is in working order.
- Process incoming and outgoing mail and packages.
- Ensure common areas are clean, organized, and presentable.
Required Skills and Experience
- At least one year of experience in an administrative, office support, or virtual assistant capacity.
- Competency with DocuSign, Zoom, Teams, and Microsoft 365 applications.
- Outstanding abilities in organization, communication, and handling multiple tasks simultaneously.
- Comfortable with technology and adept at learning new software tools.
- Demonstrates a high degree of attention to detail and professional conduct.
- Capable of working both autonomously and collaboratively within a team.
Schedule: Monday through Friday, 9:00 AM to 3:00 PM (includes a 30-minute unpaid break).
Employment Type: Part-time, W-2 position.
Compensation: $22 to $26 per hour, determined by relevant experience.
