This is a full-time, Monday through Friday role based at the Global Processing Systems, Inc. office in La Verne, California. This is not a remote position. Candidates must possess a minimum of one year of experience specifically as an Executive Personal Assistant. Experience as a family or personal assistant in a non-corporate setting is not applicable.

Job Overview

We are in search of a highly energetic, organized, and proactive Executive Personal Assistant to provide comprehensive support to our dynamic and very busy Chief Executive Officer in both professional and personal capacities. This position demands a detail-oriented professional who can adapt to a fast-paced environment. The ideal applicant will demonstrate strong computer skills and be proficient at managing a wide array of administrative and personal duties effectively. They must be articulate, meticulous, energetic, and comfortable performing personal errands as well as working alongside the CEO and staff within the office setting. This is an onsite, full-time role from Monday to Friday. Remote work is not available. A minimum of one year of Executive Personal Assistant experience is mandatory. Family assistant experience does not qualify.

Primary Duties and Responsibilities

  • Manage the CEO\'s calendar.
  • Plan, coordinate, and ensure adherence to the CEO\'s schedule, acting as a gatekeeper for their time and managing all forms of communication including calls, emails, and correspondence.
  • Assist in coordinating and participating in social events.
  • Arrange travel and occasionally accompany the CEO on trips.
  • Attend executive meetings and record detailed notes.
  • Communicate with vendors and employees, serving as a buffer for the CEO.
  • Assist with personal tasks and projects.
  • Monitor, respond to, and prioritize emails.
  • Run errands both inside and outside the office.
  • Maintain an organized schedule.
  • Multitask and prioritize the daily workload effectively.
  • Handle confidential information with trustworthiness and discretion.
  • Compose grammatically correct correspondence.
  • Edit and post content to the CEO\'s social media accounts.
  • Assist with public relations and press release tasks.
  • Perform miscellaneous duties as required.

Qualifications

  • Exceptional time management and prioritization skills.
  • Strong organizational and multitasking abilities.
  • Must have reliable transportation, a valid driver\'s license, auto insurance, and a clean driving record.
  • Minimum of one year of consecutive work experience supporting a high-level business executive.
  • Excellent written and verbal communication skills.
  • Experience managing travel arrangements and calendars.
  • Willingness and ability to run errands.
  • Ability to handle personal assignments with the utmost discretion.
  • Must be adaptable to changing circumstances.
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Outlook.

We are not a staffing agency. This is a direct hire opportunity subject to a 90-day probationary period. Salary is based on experience, and benefit options become available after 90 days. A background check is required. Proven work experience as an Executive Personal Assistant must be substantiated.
