Customer Service Representative in Downey, CA
About This Job
The core function of the Customer Service Representative is to oversee incoming leads from their initial conversion through to the active job phase, continuing until work completion and final customer billing. This role involves close collaboration with the Production department to keep the work-in-progress board current and to conduct daily audits of all job file records. Additionally, the Customer Service Representative will examine project scopes, estimates, and documentation to confirm adherence to all program specifications and to guarantee that all services rendered are billed correctly.
Key Duties
- Oversee job file status daily to verify the precision of all associated documentation.
- Engage in daily communication with Production teams to confirm all necessary documentation is obtained on-site during task execution.
- Generate and evaluate estimates using the provided scope and photographs from the Production crew.
- Keep an up-to-date Work in Progress board for all active leads and projects.
- Oversee and confirm compliance with all client specifications.
- Sustain clear communication channels with all internal and external stakeholders.
- Review timestamps and additional data points to ensure reporting and key performance metrics are accurate.
- Finalize and assess job file documentation for ultimate upload and the audit procedure.
- Conduct internal audits for all projects to confirm estimates comprehensively cover all work completed.
- Execute all job close-out duties, which includes liaising with the accounting department to facilitate correct invoicing.
- Provide support to other departments as required.
- Contact and inform clients and insurance adjusters regarding the status and developments of each project.
- Collaborate closely with the billing department to secure payments.
- Ensure all necessary documents receive client signatures.
Qualifications and Background
- A high school diploma or GED is mandatory.
- Prior experience in an office or estimating role is advantageous.
- Superior customer service capabilities, strong organizational skills, and excellent verbal and written communication are essential.
- Competence in utilizing various digital tools and technologies to perform job duties effectively.
- Background in the restoration, construction, or insurance field is beneficial.
Physical and Workplace Conditions
This is primarily a sedentary office-based position. Certain filing tasks may necessitate lifting files, accessing filing cabinets, and bending or using a step stool as needed.
Standard Schedule
This is a full-time role. Operating hours fall between 8:00 a.m. and 5:00 p.m., Monday through Friday.
