Work Orders and Repairs

  • Accept, assess, and finalize all delegated maintenance requests promptly and with a high standard of workmanship.
  • Execute a range of upkeep and repair tasks covering areas such as plumbing, electrical systems, woodwork, painting, appliances, and lock mechanisms.
  • Refer complex or specialized repair jobs to supervisors and assist in managing external service providers when necessary.
  • Submit documentation, including photographs or written summaries, before and after repairs within the AppFolio platform or other specified systems for accurate records.

Tenant Communications

  • Interact with residents directly to coordinate repair schedules, access times, and provide status notifications upon job completion.
  • Address maintenance questions and concerns quickly and courteously through telephone, text message, email, or the AppFolio system.
  • Inform tenants ahead of time if a scheduled repair must be postponed and arrange a new appointment without delay.
  • Uphold the company\'s professional reputation when accessing residential units and performing maintenance services.

AppFolio and Reporting

  • Record all details of work orders precisely in AppFolio, including materials consumed, hours worked, and final resolution.
  • Attach supporting images, notes, and files to build a comprehensive repair history and ensure compliance.
  • Alert management to persistent problems, postponed maintenance items, or requirements for major improvements.
  • Supply the property manager with regular weekly summaries covering both pending and finished work orders.

Timeliness and Efficiency

  • Give highest priority to urgent or emergency repair requests to safeguard tenant safety and protect property assets.
  • Finalize standard work orders within established company timeframes, which may range from 24 to 72 hours based on priority level.
  • Optimize the use of company resources by seeking economical solutions and reducing the need for follow-up visits.

Property Upkeep and Preventative Maintenance

  • Carry out regular checks of building infrastructure and report any needs for preventative maintenance.
  • Execute seasonal duties, including replacing HVAC filters, implementing pest control measures, applying weatherproofing treatments, and maintaining common areas.
  • Immediately notify management of any observed safety hazards, potential code infractions, or liability concerns.

Professional Standards

  • Present a professional image and demonstrate considerate behavior in all interactions with tenants and suppliers.
  • Ensure all tools and equipment are properly maintained and functional; advise when new equipment is required.
  • Comply with all company policies regarding entry notifications, safety practices, and resident confidentiality.
  • Observe all applicable fair housing and occupational safety regulations while performing assigned responsibilities.
