An art services firm is looking for a courteous, dependable, and professional individual to provide support to the owner and office manager. The role involves a variety of administrative and operational tasks.
Key Responsibilities
- Manage phone communications, including answering calls, recording messages, and returning calls.
- Screen and respond to emails.
- Assist with social media content management for platforms such as Instagram and Facebook.
- Prepare outgoing mail and generate invoices using QuickBooks.
- Address basic computer and printer issues.
- Monitor and replenish office and kitchen supplies, including snacks and bathroom necessities.
- Track job-related billing and payments.
- Organize and file documents including receipts, orders, and timesheets.
- Offer general secretarial and administrative support to the office manager.
Required Experience and Qualifications
- A minimum of three years of relevant experience is preferred.
- Strong organizational abilities are essential.
- Proficiency with Google Calendar and Google Docs.
- Prior experience using QuickBooks.
- Excellent written and verbal communication skills.
- Ability to work effectively as part of a team.
- Capable of lifting packages weighing 20 to 30 pounds.
- Skilled at multitasking and willing to assume additional duties as needed.
The work schedule is flexible, requiring 4 to 5 days per week. Hours are from 10:00 AM to 5:00 PM. Both full-time and part-time arrangements will be considered, and specific days can be negotiated with the successful candidate.
