About This Job
We are looking to hire a full-time receptionist and administrator to offer clerical and administrative assistance to office professionals and field technicians. The role involves coordinating and carrying out office routines, and often includes overseeing particular projects and assignments.
Requirements:
- Skilled in using Windows 7 and 8, Microsoft Word, Outlook, Excel, and Adobe Acrobat to create correspondence, documents, records, spreadsheets, log books, and databases.
- Strong written and verbal communication abilities.
- Capable of handling multiple tasks and performing effectively in high-pressure situations.
- Must be highly organized.
- Attention to detail is essential.
- Able to work independently.
Primary duties include:
- Writing emails and letters, answering phone calls and email inquiries, and managing schedules.
- Filing contracts and related communications.
- Generating service work orders for each service request.
- Communicating with staff in other departments and with external parties.
- Maintaining filing systems.
- Sorting and distributing incoming mail, as well as preparing and sending outgoing mail.
- Organizing and storing paper documents and digital information.
- Photocopying, scanning, and printing various documents, sometimes for other team members.
- Becoming acquainted with the general workflow of projects.
Previous experience in the contracting industry will be considered an advantage.
